Gift Certificates

Gift Certificates can be created when you sale a product that is setup to be a gift certificate.  It is a simple one check option, and the automation of Gift Certificates is started.

Customer can purchase and view the certificate number.  It can be used to purchase items from the store where the gift certificate was originally created.  The serial numbers are generated when the order is paid.  After that, the balance of the gift certificate is tracked automatically.  An expiration date can be set as well.

The manage gift certificates page allows the merchant to easily see all the active gift certificates and their current balances.  Other options exist to create, and edit and delete inactive gift certificates.

Finding Gift Certificates

From the merchant administration, you can easily see all of your subscription plans by going to Manage > Gift Certificates.  This page has three sections.  

At the top, you can enter a Gift Certificate Serial Number and click the SEARCH button.  Additionally, you can search by email address, order number, first or last name, and a expiration date range.

If there is a result, the page will expand to look something like the example below.

You can view the name of the product that generated the gift certificate.  The order number is linked to the customer's order.  The date the gift certificate number was generated and an expiration date (if any) will be shown.  The remaining balance and the gift certificate's serial number are also shown.

If you want to cancel the gift certificate so it cannot be used, click the DEACTIVATE button.

Click the VIEW TRANSACTIONS button to see a little more detail about the gift certificate.

 

Adding a Gift Certificate

Typically, the gift certificate is created when the product is purchased, however, there may be times when you want to create a gift certificate manually.

  1. Enter a name for the gift certificate.

  2. Enter an amount which will be the beginning balance.

  3. Check the box to activate the certificate when it is created.

  4. If needed, enter an expiration date.

  5. Click SAVE when finished.

The normal way to create gift certificates is from the Add Product page.  You simply check the box to create a gift certificate on purchase.

Managing Gift Certificates

At the bottom of the page, the Active Certificates are shown by default.  You can change the Status to show Inactive Certificates, or both.

The first column is a link to the details of the Gift Certificate showing all transactions.  Next, the order number is linked.  The created and expiration dates are shown in the next two columns.  The balance of the gift certificate is shown.  If you need to see the details of each use, click on the linked name.  The serial number, which is automatically generated, is shown next.

If you want to cancel the gift certificate so it cannot be used, click the DEACTIVATE button.  You can regenerate a serial number after a gift certificate has been deactivated.

To delete a gift certificate, it must first be deactivated.

If you need to modify the gift certificate, you can do that by clicking the EDIT icon.

Change the name if needed.  Enter a new balance, or change the expiration date.  If necessary, you can check the box to Regenerate the Serial Number.  Unless you have a reason to do so, it is not common to modify the gift certificates because the serial numbers, balances, and expirations are all handled automatically.

The Gift Certificate Expiry setting determines if the gift certificates will have an expiration date.
